Duties
- Reception duties including answering the phone and directing calls to the appropriate person and Front of house contact person for all visitors and service persons
- Operate efficient and effective administration functions of the office including stationary, ICV promotional stock, accounts, communication with suppliers.
- Maintain office registers e.g. assets, keys, travel, cab charge, incoming & outgoing mail, ICV promotional equipment.
- Administer petty cash requirements.
- Organize the collection and distribution of incoming and outgoing correspondence.
- Assist with the preparation of reports.
- Assist with promotional; mail out distribution, events, and media publications.
- Book travel for staff and client needs including accommodation and hire car needs.
- Keep records of staff movements.
- Assist with sending out new project and volunteer application kits.
- Assist with the preparation of project folders including data management.
- Provide administration support to other team members on an as needs basis.
- Provide and oversee office IT functions.
- Timely processing of accounts for payment, including maintaining and reconciling cheque requisitions.Communicate with ICV stakeholders
- Organize repairs and maintenance of all office equipment and building maintenance.
- Manage fleet; registration, vehicle service, safety items.
- Maintain an office First Aid kit and implement and ensure compliance with all OH&S policies and requirements.
- Other duties as required from time to time.
Selection Criteria
Essential
- Highly developed organisation and administrative skills.
- Demonstrated ability to work as part of a team, as well as to work independently.
- Use of computer software programs, particularly Microsoft Office applications.
- Demonstrated ability to communicate sensitively and effectively with Aboriginal and Torres Strait Islander peoples on matters relevant to the delivery of the Indigenous Community Volunteer program policy.
- A strong commitment to, and highly developed skills in, customer service.
- Ability to work under pressure and meet deadlines.
- Hold a current ‘C’ class drivers license.
